Booking Terms and Conditions for Bali Retreat 2025
Welcome to the Bali Retreat 2025! Before you proceed with your booking, please carefully read and understand the following terms and conditions. By ticking the box during the booking process, you acknowledge that you have read, agreed to, and fully understood all the terms outlined below and are over the age of 18. All retreat participants must make themselves aware of the terms & conditions & accept the risks associated with the course activities, each guest must be responsible for taking out the appropriate personal accident, holiday, cancellation & Covid cover insurance policy for the full duration of the retreat, this is a non negotiable condition when booking one of our retreats. Facilitator/ organiser can be referred to as 'Amy' 'facilitator' 'Kaiako' & 'Inbodyamy'.
1. Booking and Payment:
A non-refundable deposit of £225 is required to secure your spot on the retreat.
The remaining balance must be paid in full, 3 months prior to day 1 of retreat, failure to do so may result in the forfeiture of your reservation.
If you chose a payment option, you are agreeing to give the operator permission to initiate a payment or a series of payments on your behalf.
If selected monthly reoccurring payments these will space out over 10/9 months, or 3 part payment. will be 3 individual payments.
You have selected the right payment option based on your room, the money will be automatically debited from your account every month from here on after.
As stated before all deposits are non-refundable and any lesser time than 4 months notice prior to day 1 of retreat of cancellation will not be entitled to any refund for any given reason.
2. Cancellation/payment/change Policy:
The £225 deposit is non-refundable to secure your spot
-Cancellation less than 12 weeks prior to day 1 of the retreat– 100% of the cost of the retreat will be retained by Amy/Kaiako all sales are final and no refunds will be made past this point for any reason
-Between 16 weeks and 12 weeks prior to day 1 of the retreat– 50% of the cost of the retreat will be retained by Amy/Kaiako
-Between 20 weeks and 16 weeks prior to day 1 of the retreat– 25% of the cost of the retreat will be retained by Amy/Kaiako
-Cancellation more than 20 weeks prior to day 1 of the retreat, will receive a full refund minus the £225 deposit
If you cannot attend and wish to sell your spot or transfer it to a friend, you must first send a written request to Amy to ensure they are suitable for the retreat.
If you choose to pay in instalments, the final amount is due 3 months (90 days) before day 1 of the retreat. You will be automatically set up onto a subscription for a monthly payment for the next 10 months, either for £155 per month for shared room, or £190 per month for private room, if you do wish to pay the remainder off prior to the end, drop me an email and I can manually adjust this. If full payment is not received 3 months prior to day 1 of the retreat, you will forfeit your spot on the retreat and any monies paid and your spot will be sold on.
If changes are made by the venue, Amy/Kaiako cannot be held responsible for changes out of their control.
If there are any other changes made that are not ‘major’ changes like date change, Amy is not obliged to inform the customer or pay any such compensation.
This sale is final and no refund are offered
3. Participant Responsibility:
You are in control and responsible for your own physical, mental, and emotional wellbeing before, during, and after the retreat.
Amy/Kaiako/inbodyamy is not a medical professional, and participants are advised to consult their healthcare providers for any health-related concerns prior to booking.
By booking, you agree to assume such risk & agree to release & discharge Amy/ Kaiako from any & all claims for liability, injury, loss & or damage arising from your participation in our services.
As part of the booking system you were required to fill out a medical list. You MUST declare any and all medical conditions here. This retreat experience is not recommended for anyone with psychosis or schizophrenia. If you have any concerns please first contact Amy, prior to booking.
4. Activities Disclaimer:
Participants engage voluntarily in activities such as ice baths, deep conscious connected breathwork, and cacao ceremonies, understanding the potential physical and emotional impact. Participation is at your own risk.
If you have any of the following conditions, please consult with your physician before joining the retreat. These are some contraindications for deep breathwork and icebaths
History of heart disease or stroke
High blood pressure or low blood pressure
Seizures or epilepsy
Severe asthma
History of panic attacks or anxiety disorders
Pregnancy
Recent surgery or injury
Mental health conditions (e.g., schizophrenia, bipolar disorder, etc.)
Some contraindications of cacao:
Antidepressants
Heart conditions
5. Confidentiality and Code of Conduct:
Participants are required to maintain confidentiality regarding personal information shared during the retreat.
Respectful and responsible behaviour is expected at all times, and any disruptive behaviour may result in removal from the retreat without refund.
6. Acknowledgement of Risk:
Participants acknowledge and accept the inherent risks associated with retreat activities, excursions, and travel. Amy/Kaiako is not liable for any injuries, death, losses, or damages.
7. Photo Consent
Amy/Kaiako reserves the right to take any photos / recordings of the client during the services, & the client accepts that all rights whatsoever arising in the recordings shall be solely owned by Amy/Kaiako.
8. Law and Jurisdiction
These terms & conditions shall be governed & constructed in accordance with Indonesian law, & the parties shall submit to the non exclusive jurisdiction of the Indonesian Courts.
All guests must refrain from any illegal act or behaviour on a retreat. If a guest conducts or uses language which may give offence to a team member or guest or any act which may cause damage to property, may be asked to leave the premises, without refund or compensation to the guest in question. Amy will no longer be responsible or have any liability to the guest. This is down to Amy/Kaiako discretion.
This retreat does NOT include a visa or vaccination organisation. It is the guests full responsibility to organise and pay for this themselves.
9. Travel Arrangements:
Travel to the country of origin is NOT included in the retreat package. The retreat begins on day 1 of the trip.
It is your responsibility to arrange and cover the costs of travel, including checking vaccination requirements and obtaining necessary visas.
The retreat offers a complimentary arrival private group airport transfer service, the service is offered on official arrival only & only at set times, Amy reserves the right to change the times offered / stated to accommodate the group. If your flight arrives at a different time to everyone else, you are then financially responsible for your travel to the accommodation.
Activities included in the retreat will include transport to and from the activity. Anything you choose to do outside of the included activities is your responsibility and is separate from Amy or Kaiako in its entirety.
10. Travel Insurance:
Participants are REQUIRED to have comprehensive travel insurance to cover unforeseen circumstances, including trip cancellations, medical emergencies, and personal belongings.
Amy/Kaiako assumes no responsibility for any travel-related issues or unforeseen events.
11. Participant Suitability:
This retreat may not be suitable for individuals who are pregnant, unable to walk up stairs, or have limited mobility. While activities are not high-intensity, Bali's infrastructure may pose challenges due to a lack of ramps, elevators, and uneven pavements.
12. Cancellation/change by Amy/Kaiako
Amy will always endeavour to fulfil confirmed bookings, however, Amy does reserve the right to cancel a scheduled retreat date or an individual booking / reservation . If Amy cancels a booking prior to the commencement of the services the client will be offered an alternative date, or where applicable a full refund of all monies paid by the guest up to that point for the specified reservation.
Amy/Kaiako is not responsible for the weather in Bali during the retreat.
In case any planned activities are unable to be completed due to unforeseen circumstances, Amy will endeavour to find suitable replacements of equivalent value. Participants acknowledge and accept that activities may be subject to change based on weather conditions and other circumstances.
13. Full Retreat Package:
Participants are booking the retreat as a whole package. While specific activities may be highlighted, participants understand that the itinerary is subject to change and Amy has the right to change these at any point, for any reason.
You are not required to attend any activity you do not wish to participate in. It is your journey, and you have the freedom to opt for rest on any given day. Refunds will not be provided for activities you choose not to attend.
What is included: 9 nights of accommodation (please refer to what you have chosen on booking), 9 breakfasts, provided from the retreat centre, 5 lunches and 5 dinners, Transfer ONE way from arrival airport to the retreat centre, 5 excursions (Mount Batur sunrise hike, Nusa Penida snorkelling day, Balinese cooking lesson, Water temple, Waterfalls day), wellness activities facilitated by Amy, open to but not limited or guaranteed, of Yoga, breathwork, Icebath workshop, Cacao Ceremony, meditation, dance and journaling.
Any EXTRA services incurred during the retreat stay from the venue, I.e spa packages, transport, extra food or others, will be down to the guest and it is the guest responsibility to settle their bill. Any money outstanding at the end of the retreat left to pay will incur a 25% admin charge on top of the extra bill.
14. Requirements to send to Amy:

Flight information
Allergies
These additional terms are integral to the overall terms and conditions for the Bali Retreat 2025. By completing your booking and ticking the box, you acknowledge and accept these additional terms along with the general terms outlined above.
